<p><strong><em>What happens to Lotus Notes?</em></strong><br />
It will be replaced by Google Apps mail. Once migration is done, we will be shutting down our mail servers. We will send out a message when Lotus Notes cease to function.</p>
<p><strong><em>What browsers are supported by Google Apps Mail?</em></strong><br />
You can access your mail using the following fully supported browsers: Google Chrome, Firefox 2.0+, Internet Explorer 7.0 and Safari 3.0.  You can also use the following browser but they won’t have some of the latest features: IE 5.5+, Netscape 7.1+, Mozilla 1.4+, Firefox 0.8+, and Safari 1.3+.  If your browser is not listed above, you will be automatically directed to the Basic HTML view.<br />
<em><br />
<strong>Can I use Microsoft Outlook instead of Google Apps Mail?</strong></em><br />
Yes, you can use Outlook.  Our support staff will be more than happy to set you up with Outlook upon request.</p>
<p><strong><em>Can I get my Google Apps mail through my wireless device?</em></strong><br />
Yes, Google Apps mail can be configured to your wireless device. Google Apps mail supports the following wireless devices: Android, iPhone, Blackberry, Symbian, Windows Mobile 5 &amp; 6, and Snapper Mail.  Please click <a href="http://www.google.com/support/mobile/?hl=en" target="_blank">here</a> for instruction on how to configure your wireless device.<br />
Note:  Currently our IT support staff can only support with iPhone, Blackberry, or Windows Mobile phones</p>
<p><strong><em>Are there any available tutorials?</em></strong><br />

<p><strong><em>Will my address book be migrated?</em></strong><br />
Yes, you will be asked to update your address book prior to email migration started.  All your update contacts will be moved over accordingly to Google Apps.</p>
<p><strong><em>Does Gmail use folders?</em></strong><br />
No, Google Apps mail uses Labels instead of Folders.  Labels are similar to folders but can do more.  You can add more than one label to a message while you can only add a message to a folder.</p>
<p><strong><em>What other Google features will be available?</em></strong><br />
SLS Google Apps Education Edition comes with Gmail, Google Calendar, Google Chat and Google Docs.</p>
<p><strong><em>Will I have the same username and password?</em></strong><br />
Yes, you will have the same username.  Once we have migrated your account, you will need to change your password &#8211; either to your original password or to a new one.</p>
<p><strong><em>Can I change my username?</em></strong><br />
You are not allowed to change your username. We will provide you a username once you are added to our system.</p>
<p><strong><em>Can I change my password?</em></strong><br />
You can change your password through Google Apps by clicking on Settings, Account, and Change Password.<br />
<em><br />
<strong>I forgot my password, what should I do?</strong></em><br />
Contact our support staff by phone 4-8333 or submit a ticket online at <a href="http://helpsu.stanford.edu" target="_blank">http://helpsu.stanford.edu</a> and we can help reset your password for you.</p>
<p><strong><em>How much is the space limit for Google Apps mail?</em></strong><br />
The last time we checked, it was up to 7.38 GB and increasing.  That means, no more worrying about hitting the limit and choosing which e-mails to delete.  Your quota indicator, located at the bottom of any Google Apps mail page, will change from green to red if you approach your storage limit. Once you reach your limit, incoming messages will automatically bounce back to the sender.</p>
<p><strong><em>Is my trash folder part of my quota limit?</em></strong><br />
Yes, your storage is based on the size of all messages in your mail including Spam and Trash. Messages left in Trash for 30 days will be automatically deleted and cannot be recovered.</p>
<p><strong><em>What is the maximum attachment size?</em></strong><br />
You can send and receive messages up to 25 MB in size. However, the size of a file may increase because of added encodings. If you exceed the 25MB limit, Google Apps mail will display a warning message.</p>
<p><strong><em>What file types am I not allowed to send as an attachment?</em></strong><br />
Google Apps mail does not allow you to send or receive any executable files. Google would not accept these files types even if they are sent in zipped format.<br />
<em><br />
<strong>I accidentally added the wrong attachment, how do I remove it?</strong></em><br />
You can remove the attachment by removing the check mark on the checkbox next to the file.</p>
<p><strong><em>I’m having problems accessing my mail?</em></strong><br />

<p><strong><em>I was signed out automatically</em>?</strong><br />
Google Apps Mail automatically signs you out when:<br />
* It detects that you&#8217;ve logged out from another browser window<br />
* You sign in using another Gmail address from the same browser window.<br />
This is done for your protection and to ensure the privacy of your information.</p>
<p><strong><em>What is the difference between the Standard View and basic HTML View?</em></strong></p>
<p>Standard View is what you will see when you sign in to your Google Apps email account from a fully supported browser. If your browser is not supported, Google developed a basic HTML view of their service like that of Webmail.<br />
<em><br />
<strong>Can I change the language of my email account?</strong></em></p>
<p>Yes you can. Your new email account is available in many different language settings. To see what languages are supported, click <a href="https://mail.google.com/support/bin/answer.py?answer=17091" target="_blank">here</a></p>
<p><strong><em>Can I change the color of Quoted text?</em></strong></p>
<p>No, Google set the default color of any text quoted from previous message as purple.</p>
<p><strong><em>Can I change the colors of my new email?</em></strong></p>
<p>No, you cannot change the color of your mail at this time. Themes are NOT currently available with our Google Apps Mail setup. It will be available once it is out of Pre-Release.<br />
<em><strong><br />
Is there a limit on how many emails I could send?</strong></em><br />
Yes, you can only send a message to no more than 2000 recipients. If you exceed these limits, Google will temporarily disable your account. Your account should be re-enabled within 24 hours.</p>
<p><strong><em>Does Google Apps mail provide spell check?</em></strong></p>
<p>Yes, Google Apps mail provides a spell check. Just click on “Check spelling” along the top of the message you are composing. The spellchecker operates in the same language you’ve selected for your interface and is not available in Basic HTML view.</p>
<p><em><strong>Can I add a signature to my emails?</strong></em></p>
<p>Yes, you can by clicking on Settings and entering your signature text in the Signature box option. Signatures are added in grey at the very bottom of your message. Google apps mail does not support rich text formatting or HTML in your signature.</p>
<p><strong><em>Can I use filters?</em></strong></p>
<p>Yes, Google Apps mail lets you create filters.</p>
<p><em><strong>Are there any keyboard shortcuts?</strong></em></p>
<p>Yes, you can see the list of keyboard shortcuts <a href="http://mail.google.com/support/bin/answer.py?hl=en&amp;answer=6594" target="_blank">here.</a></p>
<p><em><strong>Can I search my mailbox?</strong></em></p>
<p>Yes, Google Apps mail has a built-in search tool that can retrieve the message that you are looking for by using keywords, and/or Boolean operators. To find out more, click <a href="http://mail.google.com/support/bin/topic.py?topic=12795" target="_blank">here</a>.</p>
<p><em><strong>What do I do when my account has been locked?</strong></em></p>
<p>Your Google Apps mail account can be locked by:</p>
<p>* Google detects abnormal usage that may indicate that your account has been compromised. If this was the case, it will take between one minute and 24 hours for access to be reinstated, depending on the behavior detected by their system.</p>
<p><em><strong>I have received a message asking for personal information.</strong></em></p>
<p>We would never ask for any personal information to access your email account so please do not reply to those messages. Google Apps mail will flag a message it deemed as a phishing email. If you receive a message that Google doesn’t pick up, click Report Phishing to send a copy of the message to Google.</p>
<p><em><strong>My email connection is slow (The response time for opening messages, switching labels or performing actions is slow but no error appears.)</strong></em></p>
<p>This might be caused by either a conflict with software on your computer, browser cache that needs to be cleared or a temporary problem on Google’s server. Please click <a href="http://mail.google.com/support/bin/answer.py?answer=80446&amp;topic=14821" target="_blank">here</a> and follow the instructions on how to resolve this issue.</p>
<p><em><strong>My messages are missing:</strong></em></p>
<p>Your messages disappeared in your Google Apps mail due to one of the following:</p>
<p>* Settings applied to incoming mail, such as a filter or forwarding.<br />
* A configuration issue with IMAP or POP access<br />
* Deliberate or accidental human action, or possibly a compromised account.</p>
<p>Please click <a href="http://mail.google.com/support/bin/answer.py?answer=8256&amp;topic=14822" target="_blank">here</a> and follow the steps on how to resolve this issue.</p>
<p><em><strong>My mail was marked as spam:</strong></em></p>
<p>If your mail was wrongfully marked as spam, you can unmark the message by selecting the message and clicking the Not Spam button that appears at the top and bottom of your current view. This will instantly move your message to your inbox.</p>
<p><em><strong>What is archiving mail?</strong></em></p>
<p>Archiving moves messages out of your inbox and into All Mail. This process allows you to tidy up your inbox without the need to delete anything. All messages you have archived can be found in All Mail. If someone replies to a message, Google will automatically move that message back to your inbox.</p>
<p><em><strong>I have thousand of messages and my email client is crashing:</strong></em></p>
<p>Most desktop mail clients will perform poorly with large numbers of messages. The number varies from each mail client and also will depend on your machine’s performance and memory. Google recommends doing some housework to clean up your labels in the Web interface.</p>
<p><em><strong>I’m having trouble logging in with my username and password:</strong></em></p>
<p>* Make sure you only enter your username without the ‘@law.stanford.edu’<br />
* Make sure your Caps Lock is not on. Passwords are case-sensitive.</p>
<p>If the issue persists, visit <a href="https://www.google.com/a/law.stanford.edu/UnlockCaptcha" target="_self">https://www.google.com/a/law.stanford.edu/UnlockCaptcha</a> in order to clear the CAPTCHA.</p>
<p><em><strong>What is Google Labs?</strong></em></p>
<p>Google Labs is a repository of experimental new features in Google Apps mail. Please bear in mind that Law IT does not endorse any of these new features and that the IT department cannot be responsible if something breaks in your mail. If you encounter a problem while using a feature from Google Labs, you can disable it by going to <a href="http://mail.google.com/mail/?labs=0" target="_blank">http://mail.google.com/mail/?labs=0</a> and your account should go back to normal.</p>

<p><strong><em>I got an error “Lockdown in Sector 4”:</em></strong></p>

<p>Google Apps mail account is intended for single use and has a limit of 10 simultaneous IMAP connections per account. This means that you have the same account open with different mail clients at the same time. Try closing or signing out of mail clients you are not actively using.</p>
<p><strong><em>I got a “Temporary Error (502),” what should I do?</em></strong></p>
<p>The error means your mail is temporarily unavailable and would usually resolve themselves within a few minutes. <p>Yes, you can mark a part of conversation unread by opening only that part of the thread and marking it unread.</p>
<p><em><strong>What do the colors and symbols mean next to names in the “Chat” area?</strong></em></p>
<p>Green mean available, Orange means idle, Red means busy, Grey means off-line or invisible.</p>
<p>If there is a camera, the person has a webcam, otherwise it will be a circle shape and that mean no camera.</p>
<p><em><strong>If I delete one email in a thread, do they all get deleted?</strong></em></p>
<p>Yes, please refer to getting to know your conversation view.</p>
<p><em><strong>Can you add words to the spell check?</strong></em></p>

Google Apps Docs saves your documents, spreadsheets and presentation to a secure, online storage facility eliminating the need to save it to your hard drive. And you can access your documents from any computer. Of course the IT department highly recommends you to save a backup copy of your documents on network share or other sources.</p>
<p><em>Is there a size limit in Google Apps Docs?</em><br />
Each document can have a maximum size of 500K plus 2MB per embedded image.<br />
Spreadsheets can be up to 256 columns or up to 200,000 cells or 100 sheets – whichever limit is reached first.<br />
Presentations can have a maximum of 10MB; files uploaded from the Web can be up to 2MB; emailed files can be up to 500K<br />

<p><em>I want to share my documents in Google Apps Docs:</em><br />
You can share your documents by checking the desired document and clicking on the Share. You can share the document by making others as collaborators or viewers.</p>
<p>* Collaborators can edit documents, spreadsheets, and presentations; Invite or delete other collaborators and a viewers if the owner has given them permission; and can export a copy of the document, spreadsheet or presentation to their local hard drive.<br />
* Viewers can only view the most recent version of a document, spreadsheet or presentation and can export them to their local hard drive.</p>
<p>If you want the document, spreadsheet or presentation to be open to the public, click the box next to Invitations may be used by anyone. But a Google Account would be needed if a user is invited to view presentations.</p>
<p><em>Are there any limits on sharing?</em><br />
Yes, documents, spreadsheets and presentations are limited to 200 combined viewers and collaborators. But publishing them will grant people access without the need to specifically invite them.</p>
<p><em>Are there any limits on how many people can edit and/or view document, spreadsheet or presentation at any given time?</em><br />
Yes, documents and presentations are limited to 10 people at any given time while spreadsheets have a limit of 50 people at any given time.</p>
<p><em>How do I know if someone else is editing a doc?</em><br />
Document s – a box at the bottom left of the screen will appear. 10 people can edit a document at the same time.<br />
Spreadsheets – a Discuss tab will open and you will see the names of the collaborators. The Discuss tab allows you to chat with current collaborators about changes being made. 50 people can edit a spreadsheet at the same time.<br />
Presentations – names of all the collaborators who are editing the presentation at the same time will be displayed in the bottom-right corner. You can chat with other collaborators in View presentation mode. 10 people can edit the presentation at the same time.</p>
<p><em>Can I remove collaborators?</em><br />
Yes but only if you are the owner of doc. If you are a collaborator, you can remove another collaborator as long as the doc owner has granted you that permission. To remove a collaborator, click here to learn how.</p>
<p><em>Can I email docs as attachment?</em><br />
Yes, just open the document, click on Share and then Email as attachment. Type in the recipient’s email address and send.</p>
<p><em>Can I change the ownership of a doc?</em><br />
You can only change the ownership of documents and presentations. And you can only change ownership if you are the owner of the document. To change ownership, check the doc, click on More Actions and choose Change Owner. Type in the email address of the new owner and click Change Owner.<br />
Note: You cannot change ownership of a doc to someone outside law.stanford.edu</p>
<p><em>How do I name my docs?</em><br />
When you create a new document, Google App Docs will save it as either Untitled or the first few words entered in the document. To rename, click on File and select Rename. You could also click on the title displayed at the top left of the page to rename the document.</p>
<p><em>Are there any templates I could use in Google App Docs?</em><br />
Yes, just click New and select From template…</p>
<p><em>How to I save Google App Doc files to my computer?</em><br />
To save a document to your local computer, click File, then select one of the Download file as options.<br />
To save a spreadsheet to your local computer, click File, the mouse over to Export option.<br />
To save a presentation to your local computer, click File, and select Save as PDF or Save as PPT.</p>
<p>I got a &#8220;Too many spreadsheets open&#8221; error:<br />
This error may be due to session-restore while using Firefox. Click here for steps on how to resolve this issue.</p>
<p>I got &#8220;#Error Parse Error&#8221; while typing a formula on my spreadsheet:<br />
There is an error in your formula, simply go back and edit the formula.</p>
<p>I got a &#8220;404 Error Message&#8221;:<br />
It could mean that the owner has deleted the spreadsheet. If you are seeing the message on the spreadsheet you created, please post the error here.</p>

<p>With Google Apps Mail, all related messages are grouped into a single conversation or thread. When you open a message in a conversation, all of your related messages will be stacked neatly on top of each other. The newest message is always the one you see first.</p>
<p>But there are instances when you want to delete part of a message or want to only reply to a certain message.  Most mistakes happen when one replies to the newest message thinking it will reach the right recipient.  Or when someone hits the Delete button &#8211; erasing the entire conversation.</p>
<p>Below are some steps on how to do stuff in Conversation View:</p>
<p><strong><em>Replying to a single message</em></strong><br />
1. Click on the message of the conversation view you want to reply to. This will expand the message.<br />
2. Click on Reply located at the top right of the message. You can also click on Reply located at the bottom left of the message.</p>
<p><strong><em>Deleting a message of a conversation</em></strong><br />
1. Click on the message you want to delete.<br />
2. Click on the down arrow next to Reply, at the top right of the message.<br />
3. Click Delete this message</p>
<p><strong><em>Forwarding a message of a conversation</em></strong><br />
1. Click on the message you want to forward<br />
2. Click the down arrow next to Reply, at the top right of the message.<br />
3. Click Forward<br />
4. You can also click on Forward located at the bottom left of the message.</p>
<p><strong><em>To see all of the message of a conversation</em></strong><br />
1. Click on the conversation.<br />
2. Click Expand all located at the top right of the Inbox</p>
<p><strong><em>To forward the conversation</em></strong><br />
1. Click on the conversation<br />
2. Click Forward all located at the top right of the Inbox.</p>
